Levels 1–3 are our published integration tiers — a booking brand name doesn't change the price. Level 4 is platform work, scoped free and fixed before we start. If you're building a new site anyway, our Build tier already includes one Simple or Standard integration — which can be your booking system.

The honest bit: level 1 might be free

If you're one person taking appointments, you may not need a developer at all. Calendly, Cal.com and Microsoft Bookings all have free tiers that embed in an afternoon — we use exactly that pattern for our own consultation bookings. Where paid work earns its keep is everything a generic scheduler can't express: money changing hands, multiple staff or assets, availability rules with exceptions, and booking data that needs to reach your invoicing or operations.

What pushes a business to level 4

We’ve built the level-4 case: Calle Campers, a campervan-hire company taking bookings through its own site. A scheduler can't run a hire fleet — each van has its own availability, pricing varies by season and duration, hires need deposits, and a booking has to trigger real operations. The tell that you're in this territory isn't company size; it's that your availability rules have exceptions, and the exceptions have exceptions. At that point off-the-shelf tools cost you more in workarounds than a scoped build costs to own outright — and you stop paying per-booking commission to somebody else's platform. Running costs nobody mentions

  • SaaS schedulers — free tiers are genuinely free; paid tiers run roughly £10–£15 per user per month, forever, and marketplace booking platforms often take per-booking commission on top.
  • Stripe fees — payment processing costs a percentage per transaction whichever route you take; that goes to Stripe, not your developer (our Stripe guide separates the two properly).
  • A custom platform — no per-booking commission and no per-user fees, but it's software you own, so someone should keep it monitored and patched; our care plans exist for exactly that.

Questions we hear a lot

Can't I just use Calendly for free?

Often, yes — and we'll tell you so. If you're one person taking appointments, a free scheduler embedded in your site is genuinely the right answer; we use one ourselves for consultations. Paid development starts making sense when bookings involve payments, multiple staff or resources, availability rules a generic tool can't express, or data that needs to flow into your other systems.

What does it cost to take booking payments on my website?

Wiring a payment step into your booking flow is typically our Standard integration at £850 fixed — deposits or full payment collected through Stripe at the moment of booking, with confirmations and error handling. Two-way sync with calendars or your back-office systems is Advanced at £1,850. Stripe's own transaction fees are separate and go to Stripe, not us.

When does a business need a fully custom booking system?

When the booking rules are the business: fleets or rooms with per-item availability, variable pricing by date or duration, staff rotas, deposits and damage waivers, or bookings that must drive invoicing and operations.
